Keystone Tax Solutions Pro has added this feature to its Premium Package. The new 2D Bar code Import feature lets you capture the data from a Form W-2, and also scan and import documents to a client’s tax return. Using Motorola DS6707 handheld scanner is easy. Just point the scanner camera at the document, click, and scan. Bar codes can be scanned and read using only Motorola DS6707. Motorola does not sell directly to consumers, but their line of Symbol products are carried by a number of office supply stores and Internet vendors.
All of the data contained on the Form W-2 will be captured and automatically filled into the Form W-2 edit menu. Scanning in Form W-2 will not only speed the entry of tax return data, but will also reduce data entry errors.
Instructions for scanning documents (Social Security Card, ID, etc) in the PaperCut program
From the Main Menu of Keystone Tax Solutions Pro select:
- PaperCut Icon
- Tax Returns
- Double Click on the Tax Return you would like to add files to
- At the bottom right hand portion of the screen, select the “Scan” button
- Click on the “Motorla Scanner” Button
- You must have the Motorola Bar code Core Drivers loaded on your computer for PaperScanner to work properly. If they are not installed, you may be asked Would you like to load the drivers? Select ‘YES’ and the Motorola Installation Wizard will begin. Follow the onscreen prompts to install the drivers. Click ‘OK’ when Motorola Bar code Drivers are loaded.
- Select The Image Type that you are scanning
- Select Prepare Scanner
- Print the PDF that pops up (This .pdf will need to be scanned to determine weather you are using Document Scan Mode take a picture or using the Barcode Scan Mode to scan a Barcode W-2)
- Once you have chosen your mode, select the “Scan” button
- Take your picture
- Close The “PaperCut Scanner” Window
- Your image is now in PaperCut
Instructions for scanning in the tax return
From the Main Menu of the Tax Return (Form 1040) select:
- Personal Information
- Scan Documents
- Click on the “Motorla Scanner” Button

NOTE: Barcodes are hard coded with information from the Form W-2, but are not always printed correctly. Always double check the Form W-2 to ensure the information pulled from the bar code matches your client’s information.
