Backing Up / Recalling Individual Tax Returns

In Keystone Tax Solutions Pro, return data is stored on your local hard drive (to the “Installation Path” directory specified in the Path Menu in Configuration). Backing up return data to removable media such as a thumb drive or external hard drive is recommended on a daily basis, and this can be done in two ways:

  • You can initiate the backup process
  • You can have returns automatically back up to a secondary backup. Click here for more information about setting up a secondary backup path.

Backing Up Returns

To back up returns, from the Main Menu of Keystone Tax Solutions Pro select:

  • Utilities
  • Backup Returns
  • You will be prompted to Select the Drive to Use for Backup (If you do not know the assigned drive letter of your secondary device, minimize the program and open a Windows File Explorer window and determine the drive letter there.)
  • Select the drive letter assigned to the removable device from the list of drives.
  • A list of all returns will appear in a pick list. You can Select Clients to Backup or you can back up all returns by selecting Check All
  • Select Ok
  • The selected returns will be copied to the selected drive.

Recalling Returns

To recall returns from a backup, from the Main Menu of Keystone Tax Solutions Pro select:

  • Utilities
  • Recall Returns
  • You will be prompted to Select the Directory to Recall Returns From (If you do not know the assigned drive letter of your secondary device, minimize the program and open open a Windows File Explorer window and determine the drive letter there.)
  • Select the drive letter assigned to the removable device from the list of drives
  • Select Ok
  • A list of all returns will appear in a pick list.  You can Select Clients to Recall or you can recall all returns by selecting Check All. Note: If any return being recalled already exists on this computer, before selecting Ok select the box for Overwrite Existing Returns if you wish to overwrite the existing return with the return recalled from backup.
  • Select Ok
  • The last step involves repairing the client list so that it will show the recalled return(s). From the Main Menu of Keystone Tax Solutions Pro select:
    • Utilities
    • Repair Tax Return Pick List

Note: Backing up returns only backs up return data. Scanned documents associated with a return, if any, aren’t included in the backup.
